We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will manage office operations, coordinate team schedules, handle communications, and support various administrative tasks. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Office Management and Coordination:
Oversee day-to-day office operations.
Coordinate with cleaning staff and suppliers to maintain a well-organized and clean office environment.
Ensure office supplies are adequately stocked and all equipment is functional.
Organize and maintain both physical and digital filing systems.
Provide support for ad-hoc administrative tasks as required.
Communication and Schedule Management:
Book and manage appointments for the team.
Coordinate and maintain the team schedule, ensuring efficient time management.
Manage all incoming and outgoing communications, including phone calls, emails, and messages on social media platforms.
Assist with travel arrangements, including booking flights and accommodations.
Administrative Support and Documentation:
Prepare presentations as required.
Build and submit proposals based on guidance from team members.
Send invoices to clients and track payments.
Process internal payments for approval and execution.
Send documents and obtain necessary signatures, coordinating document signing as needed.

Qualifications:
Proven experience as a Personal Assistant, Office Administrator, or in a similar role.
Degree or diploma in Secretarial Studies, Management, or a related field preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities in English and Greek.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, or other relevant software.
Strong problem-solving skills and attention to detail.
